Account and contact information — name, email address, company name, job title, phone number, and other business contact details when you create an account, request a demo, or communicate with us
CRM and sales data — information you connect to Amplavia through our integrations, including account records, contact lists, opportunity data, call notes, email history, and related sales content ("Customer Data")
Communications — messages, feedback, and other correspondence you send us

1.2 Information Collected Automatically

Usage data — pages visited, features used, time spent, click patterns, and other interaction data
Device and log data — browser type, operating system, IP address, referring URLs, and access times
Call and meeting recordings — if you use our transcription and analysis features, we process audio and text recordings of your sales calls as described in Section 3 below

1.3 Information from Third Parties

Integrations — data from third-party platforms you connect to Amplavia, such as Salesforce, HubSpot, email providers, and calendar services
Enrichment services — we may supplement lead and contact data with information from third-party data providers to improve service quality

2. How We Use Your Information

We use the information we collect to:

Send technical notices, updates, security alerts, and support messages

Provide AI-powered features including account intelligence, deal coaching, call analysis, and forecast confidence scoring

3. AI Processing and Call Transcripts

Amplavia uses artificial intelligence to analyze CRM data, sales call recordings, and related content to deliver AI coaching, deal intelligence, and forecast insights. When you use these features:

Call recordings and transcripts — Audio from calls you choose to record is transcribed and analyzed by our AI models to identify key moments, sentiment, competitive signals, and coaching opportunities. Transcripts and analysis results are stored securely and associated with your account.
CRM and email data — Our AI reads and synthesizes information from your connected CRM and email systems to generate account intelligence and deal guidance. This analysis is performed on your behalf and your data is not used to train models shared with other customers.
No use for model training — Your Customer Data, call recordings, and AI-generated analysis are not used to train AI models available to other customers or to improve our general AI capabilities for other users.

4. How We Share Your Information

We do not sell your personal information. We may share information in the following circumstances:

Service providers — We share information with trusted vendors who assist us in operating our Services, including cloud infrastructure providers, AI model providers, email delivery services, and analytics platforms. These providers are contractually bound to use your information only to provide services to us.
Business integrations — When you connect third-party services (such as Salesforce, HubSpot, or other CRM platforms), data may be shared with those platforms as needed to deliver the integration functionality.
Legal requirements — We may disclose information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect the rights, property, or safety of Amplavia, our users, or the public.
Business transfers — In the event of a merger, acquisition, or sale of all or a portion of our assets, customer information may be transferred as part of that transaction.

5. Data Retention

We retain your information for as long as your account is active or as needed to provide Services. You may request deletion of your data at any time by contacting us at privacy@amplavia.ai. We will honor deletion requests within 30 days, subject to any legal or contractual obligations to retain certain data.

Call transcripts and AI analysis results are retained for as long as you maintain an active account and for up to 90 days after account closure for your retrieval, unless you request earlier deletion.

6. Data Security

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit and at rest, access controls, regular security assessments, and employee awareness training.

7. Your Choices and Rights

7.1 Access and Correction

You may request deletion of your personal information and Customer Data by contacting privacy@amplavia.ai. We will process such requests in accordance with applicable law.

7.3 Communications

You may opt out of promotional emails by clicking the unsubscribe link in those emails. You cannot opt out of service-related communications required to deliver the Services.

7.4 Regional Rights
